Creating a Simple Bought-In Inventory Item

Instructions:

  1. Go to the Inventory module and click to create a new item.
  2. Select "Buy" as the item type.
  3. Choose a product group and add a clear internal description.
  4. Set the unit of measure and optional stock location.
  5. Upload an image if relevant for easy reference.
  6. Add one or more suppliers:
    • Enter the supplier’s reference and unit cost.
    • Use the notes box to record price breaks or minimum order quantities.
  7. Set a minimum stockholding level if needed.
  8. Enter a unit value (this is used in costings).
  9. (Optional) Add a sale price if the part is sold directly.
  10. Review stock levels and history via the quick links.
  11. Use the item in quotes, jobs, stock purchasing, or direct orders.
Tip: The black number in the inventory icon shows items below their minimum stock level.

Creating a Make Inventory Item (With Costing and Labour)

Instructions:

  1. Go to the Inventory module and create a new item.
  2. Select “Make” as the item type.
  3. Click into the Costing tab to build up the cost.
  4. Add external purchased items (e.g. tube) — Statii will generate a purchase order if needed.
  5. Add materials from stock (e.g. 0.5L black paint) — the system will check availability and flag shortages.
  6. Add internal operations:
    • Select a resource (machine or labour).
    • Enter time needed per operation (e.g. cutting, bending, painting).
    • Add instructions (e.g. gloss level) for the shop floor.
  7. Review the calculated unit cost and optionally set a sale price.
  8. Choose to produce the item for stock or use it in future assemblies (e.g. a full bike build).
Tip: Make items can be reused in other assemblies using multi-level BOMs.

Creating and Managing Multi-Level BOMs (Example: Building a Bike)

Instructions:

  1. Create sub-assemblies (e.g. gear set, wheels, frame) as individual make or buy items.
  2. Add each sub-assembly to the top-level bike assembly using the BOM structure.
  3. Create a new quotation and let the system generate a unique part reference for the bike.
  4. Add components to the costing:
    • Set “External” for bought-in items (e.g. gear set) to trigger purchase orders.
    • Pull stock items (e.g. seat) directly from inventory.
    • Add “Make” items (e.g. frame, wheels) with required quantities.
  5. Assign labour for final assembly and set margin or selling price.
  6. Confirm the quote to generate the live sales order.
  7. From the quote view, email the order confirmation and let Statii create:
    • Purchase orders for any bought-in items
    • Works orders for make items and assemblies
  8. View stock shortages via the Inventory module — red numbers indicate below-zero expected quantities.
  9. Place new purchase orders as needed to satisfy demand and resolve shortages.
  10. Review works orders:
    • Master works order is for the full build.
    • Sub-works orders are auto-created for each assembly.
    • Use colour coding (olive = major shortage, turquoise = minor) to prioritise.

Tip: Booking in received goods will move quantities from "expected in" to "in stock," resolving shortages automatically.
